Introduction
Welcome to SoleTax. Please read these terms carefully before using our service. By creating an account or using SoleTax, you agree to be bound by these terms. If you do not agree, you must not use our service.

When we say SoleTax, we, us or our in these terms, we mean SoleTax Ltd. When we say you or your, we mean you as the person using our service.
The Service
SoleTax provides software to help UK sole traders track income, expenses and mileage, and prepare and submit quarterly returns under HMRC's Making Tax Digital (MTD) programme.
We may update, improve or change the service from time to time. We'll let you know about any significant changes by email or through the app.
Important: Tax Disclaimer
SoleTax is a software tool — it is not a tax advisory service. We are not accountants or tax advisers, and nothing in our service constitutes tax, legal or financial advice.
You are solely responsible for:
- The accuracy and completeness of the data you enter into SoleTax.
- Ensuring your MTD submissions to HMRC are correct.
- Meeting all your tax obligations, including deadlines and payments.
- Seeking professional tax advice where needed.
SoleTax Ltd accepts no liability for errors in your tax submissions, penalties from HMRC, or any tax liability arising from your use of the service.
Your Account
To use SoleTax, you must create an account with a valid email address and password. You are responsible for:
- Keeping your login details confidential and secure.
- All activity that takes place under your account.
- Ensuring the information in your account is accurate and up to date.
If you believe your account has been compromised, notify us at hello@soletax.uk immediately.
You must be at least 18 years old and a UK resident to use SoleTax.
Free Trial
When you first sign up, you get 30 days free with no charge. Payment details are required to start your trial — your card will not be charged until the trial period ends. At the end of the trial, you can choose to continue on a paid plan or cancel.
If you choose not to continue, simply cancel before your trial ends and you will not be charged.
Subscription and Pricing
After your free trial, continued use of SoleTax requires a paid subscription. We currently offer two plans:
- Monthly: £10 per month, billed monthly.
- Annual: £100 per year, billed annually.
All prices include VAT where applicable. Your subscription renews automatically at the end of each billing period unless you cancel. We'll notify you before any price changes take effect, and changes will not apply retrospectively.
If payment fails, we will notify you and may suspend access to your account until payment is made.
Cancellation and Refunds
You may cancel your subscription at any time from within your account settings. Cancellation takes effect at the end of your current billing period — you will retain access until that date.
We do not offer refunds for partially used subscription periods, except where required by law. If you cancel an annual plan within 14 days of payment and have not submitted any MTD returns through the service, you may request a full refund by emailing hello@soletax.uk.
Your Data
You own the data you enter into SoleTax. By using our service, you grant us a licence to store, process and use your data solely to provide and improve the service.
We will not sell your data to third parties. We may use anonymised, aggregated data (which cannot identify you) to understand how the product is used and to improve it.
Following cancellation or termination, we retain your data for 90 days, after which it is permanently deleted. You may request early deletion by contacting us at hello@soletax.uk.

Security
We take reasonable technical and organisational steps to keep your data secure. However, no online service can guarantee absolute security.
You are responsible for choosing a strong password, keeping it confidential, and ensuring the security of the device you use to access SoleTax. We strongly recommend enabling two-factor authentication when it becomes available.
If we become aware of a security incident affecting your data, we will notify you as required by law.
Availability and Maintenance
We aim to keep SoleTax available at all times, but we cannot guarantee uninterrupted access. We occasionally need to carry out maintenance, and we'll try to give you advance notice when this requires downtime.
We are not liable for any loss resulting from periods of unavailability, provided we have taken reasonable steps to minimise disruption.
We recommend keeping your own records of important financial data and not relying solely on SoleTax as your only record-keeping system.
Acceptable Use
You agree to use SoleTax only for lawful purposes and in a manner consistent with these terms. You must not:
- Use the service to commit fraud or submit false information to HMRC.
- Attempt to gain unauthorised access to any part of the service or its infrastructure.
- Introduce malware, viruses or other harmful code.
- Reverse engineer, decompile or copy any part of our software.
- Use the service in a way that disrupts other users or our systems.
- Share your account with others or attempt to resell access to the service.
We may suspend or terminate your account immediately if you breach these rules.
Termination by Us
We may suspend or terminate your account if you breach these terms, if payment is overdue, or if we have reasonable grounds to believe your use of the service is unlawful.
We may also terminate the service entirely by giving you 30 days' written notice. In this case, if you are on an annual plan, we will refund a pro-rata portion of your remaining subscription.
Our Intellectual Property
SoleTax and all content, design, code and features within it are owned by SoleTax Ltd and protected by intellectual property law. You may not copy, reproduce or create derivative works from any part of our service without our written permission.
Our Liability
To the maximum extent permitted by law, SoleTax Ltd's liability to you is limited to the total subscription fees you paid in the 12 months prior to the event giving rise to the claim.
We are not liable for:
- Any tax liability, penalties or fines imposed by HMRC.
- Loss of revenue, profit or business arising from use of the service.
- Data loss except where caused by our own negligence.
- Any indirect or consequential losses.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law.
Changes to These Terms
We may update these terms from time to time. If we make material changes, we will notify you by email at least 30 days before the changes take effect. Continued use of SoleTax after that date means you accept the updated terms.
The date at the top of this page shows when these terms were last updated.
Governing Law
These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of SoleTax will be subject to the exclusive jurisdiction of the courts of England and Wales.
